Privacy Policy
What CrewPulse collects
We collect information you provide directly (account registration, billing) and information generated through product use (check-in responses, delivery integration data, dashboard activity).
- Account data: name, email, company name, billing information
- Check-in data: slider scores and optional open-text responses submitted by engineers
- Delivery integration data: PR metadata, cycle time, milestone progress pulled from connected tools (GitHub, Jira, Linear, ADO) — no source code is ever accessed
- Usage data: pages visited, features used, session timing — used for product improvement only
The anonymity model — how check-in data is handled
This section is more specific than a typical privacy policy because anonymity is a core product guarantee, not just a compliance footnote.
- Slider scores (workload, blockers, priorities, communication) are stored at the team aggregate level. Individual scores are not shown to managers.
- Open-text responses are processed by an AI model to generate summarized themes. The raw text is retained for a limited period for operational purposes, but is never surfaced to managers, CTOs, or other team members.
- Engineers are informed of this model at the time of their first check-in. We do not change this without notice.
- We do not sell or share check-in response data with third parties. It is used solely to generate the summaries and callouts shown in your CrewPulse dashboard.
How we use your information
- To provide and operate the CrewPulse service
- To generate the weekly CTO digest and "Needs Your Attention" callouts
- To send product updates and transactional emails (check-in invitations, billing receipts)
- To improve the product — aggregated and anonymized usage patterns only
- To comply with legal obligations
We do not sell personal data. We do not use check-in data for advertising. We do not build individual productivity profiles.
Third-party services
CrewPulse uses a small number of third-party services to operate:
- Stripe — payment processing. We never store card numbers directly.
- Resend — transactional email delivery (check-in links, digest emails)
- Plausible Analytics — privacy-respecting site analytics with no cookies and no personal data
Data retention
Account and dashboard data is retained for the lifetime of your subscription plus 30 days after cancellation. Raw check-in open-text responses are deleted after AI summarization is complete (within 7 days of submission). Aggregated team scores and summaries are retained for the life of the account. You can request deletion of your account data at any time by emailing hello@crewpulse.io.
Your rights
You can request access to, correction of, or deletion of your personal data at any time. Contact us at hello@crewpulse.io. We'll respond within 30 days.
Terms of Service
Using CrewPulse
By creating an account, you agree to these terms. CrewPulse is available to businesses and individuals for the purpose of managing engineering team health and delivery signals. You may not use CrewPulse for any unlawful purpose or in a way that violates these terms.
Your account
You're responsible for maintaining the security of your account credentials. You're responsible for all activity that occurs under your account. Notify us immediately at hello@crewpulse.io if you suspect unauthorized access.
Acceptable use
You agree not to use CrewPulse to:
- Conduct individual surveillance of employees beyond the aggregate, anonymous-safe signals the product is designed to surface
- Collect or process personal data in violation of applicable privacy laws
- Attempt to reverse-engineer, circumvent, or abuse the anonymization model
- Resell or sublicense access to the service
Billing and cancellation
Subscriptions are billed monthly in advance. You may cancel at any time through your account settings. Cancellation takes effect at the end of the current billing period — you'll retain access until then. We do not offer refunds for partial billing periods.
Service availability
We aim for high availability but don't guarantee 100% uptime. We may perform maintenance, update the product, or change features with reasonable notice. We're not liable for losses resulting from service interruptions outside our control.
Limitation of liability
CrewPulse is provided "as is." To the extent permitted by law, our liability for any claim arising from use of the service is limited to the amount you paid in the 12 months preceding the claim.
Changes to these terms
We may update these terms. We'll notify you by email at least 14 days before material changes take effect. Continued use after that date constitutes acceptance.
